Organizing a Filing System

Creating a filing system that you can reference easily is not as hard as it seems. Start with 3 basic categories. From the 3 main categories, break down those groups into more specific areas. These categories should serve as the main system for all you’re tracking needs, including contact lists, hanging file systems, Word document files, and so forth. Create an index for hanging file systems to better locate items. Color-code the 3 main categories when using labels, hanging files, and floppy disks.

The 3 Main Categories are as follows:

  1. Personal – interest, hobbies
  2. Family or household – finical records, medical information
  3. World – community groups, career

EXAMPLE

Main Category Sub Category Examples
Personal Poetry Word documents on hard drive, hard copies in color-coded hanging file, or list of email addresses of poetry club members.
  Letters and Cards Written on computer, mailed to you, saved in a file
Family or Household Budget Saved on computer, in a hard bound book, or a loose piece of paper filed in a cabinet
  Bills Electronic records saved on computer, or paper records saved in a color-coded file (break down into Paid, Unpaid and specific records)
  Health Break down by doctors or family members, addresses, phone numbers, records
World Coffee Shop Book Club Saved documents, like book reports, meeting schedule, member’s addresses
  College Papers Hard copies in a file, or electronic documents
  Career Includes resumes, cover letters, recommendation letters, current business documents
